Phone & Voicemail Information

IS&S provides administrative and technical support to faculty and staff using campus phone services, voicemail and mobile phones.

Services Offered

  • Report phone problems to the Helpdesk by calling extension 3343 or sending e-mail to Help_Desk@berea.edu.
  • Student residence hall emergency phone service is provided at key locations in each residence hall.
  • Students are encouraged to use their own mobile phones for voice communications.  Phone service for individual student residence hall rooms is provided as needed upon request to the Helpdesk.

Dialing Information

Dialing Instructions 

  • To reach another campus phone, dial the four-digit extension.
  • To make an off-campus local call, dial 8 + the 10-digit phone number, including area code.
  • To make a long distance call, dial 8 + 1 + the ten-digit number including area code.  Note that all long distance calls made from a given desk phone are charged to the department responsible for that phone.

Voicemail Instructions

  • Voicemail is delivered as an audio file attached to an e-mail message in your inbox.
  • In order to obtain a new campus phone line with voicemail or have a voicemail account added to an existing campus phone line, please contact the Helpdesk.  To obtain a voicemail account, you must already have a network/e-mail account.
  • In order to obtain a general voicemail account for a work group, the group must have a network/e-mail service account. To obtain a network/e-mail service account, the account sponsor must fill out the service application form and submit it to the Helpdesk for processing.

To access your voicemail from an off-campus:

  1. Dial your own campus number (1-859-985-your extension)
  2. Press the * key when the voicemail greeting message begins.
  3. Enter your extension and press the # key.
  4. Enter your voicemail PIN.

To listen to voicemail messages:

  1. Press the voicemail button on your phone (looks like an envelope)
  2. Enter your PIN
  3. Select 1 – New Messages
  4. Press 2 to save the message
  5. Press 3 to delete the message
  6. Hang up when done.

To listen to saved or deleted messages:

  1. Press the voicemail button on your phone (looks like an envelope)
  2. Enter your PIN
  3. Select 3 – Old Messages
  4. Press 1 for Saved Messages – OR – Press 2 for Deleted Messages
  5. Hang up when done.


To restore a deleted message:

  1. Press the voicemail button on your phone (looks like an envelope)
  2. Enter your PIN
  3. Select 3 – Old Messages
  4. Press 2 for Deleted Messages
  5. Press 1 – Review Deleted Messages
  6. After listening to a message, press 2 to restore it to Saved Messages.
  7. Hang up when done

Voicemail Retention Information

When a new voicemail arrives, the voicemail message is stored in the phone system AND a copy is sent to your campus email account as a voice recording.

  • If you listen to the email message via Outlook or through the phone system, the voicemail will be moved to “Saved Messages” in the voicemail system.
  • If you do not access the voicemail, after 30 calendar days it will automatically be moved to the “Saved Messages” in the voicemail system.

      PLEASE NOTE: If you delete the email message in Outlook, the voicemail message will also be deleted.

  • After 30 calendar days, a saved voicemail message will automatically be moved to the “Deleted Messages” in the voicemail system.
  • If you wish to keep a voicemail message that has been deleted, simply follow the steps outlined above under “To restore a deleted message”
  • If you do not wish to keep a deleted voicemail message you do not need to do anything.

      After 90 days, a deleted voicemail message will be purged from the system and will no longer be retrievable.

Portable Wireless Devices

The following information is for Berea College faculty and staff only.

Mobile telephones or other portable wireless devices may be issued to college employees who have a frequent need for remote telephone access or for use in the event of an emergency. College-owned portable wireless devices and services are to be acquired following the College policy and procedures.

Use of Portable Wireless Devices

Invoices will be paid by IS&S but charged to the departments. Itemized statements are provided upon request to department liaisons, who are responsible for reviewing the statements and communicating with device users in their respective departments.
Employees must immediately repay their department for usage charges incurred due to personal calls, text messages or other services.
Employees should avoid the unsafe practice of talking or texting on a mobile phone while operating a motor vehicle.

How to Request Wireless Service

Portable wireless voice and/or data service must be requested per College policy and requires specific approval of the responsible area Department Head and Vice President. Complete the form below and either scan it and e-mail to Help_Desk@berea.edu or bring it to the IS&S Helpdesk. IS&S will notify you when your equipment arrives.

Employees may not make changes to wireless service through direct contact with the service provider. Available service plans will be revised as deemed appropriate by IS&S and as negotiated by the Purchasing Department with the provider.  Changes to plans and features will be made by IS&S.
